Campus Housing Contract

Terms and Conditions for 2023 - 2024 Academic Year

PLEASE REVIEW THIS CONTRACT THOROUGHLY. YOU ARE RESPONSIBLE FOR KNOWING AND COMPLYING WITH ITS TERMS AND CONDITIONS.

I. PERIOD OF OCCUPANCY
A. Residents may occupy assigned room starting as early as 12:00PM on the first day of the academic year contract period inclusive of Fall (August 20, 2023 – December 9, 2023) and Spring (January 7 – May 4, 2024) semesters.
B. Campus Housing reserves the right to reassign or release assigned room if the resident fails to occupy the room by 12:00PM on the first day of class unless the resident notifies Campus Housing in writing of their intention to occupy the room at a later date. No refund or credit will be given for the period the room is held pending late arrival. Release due to failure to occupy the room will result in charges detailed in Section III.
C. Occupancy of assigned room shall be permitted until 12:00PM on the last day of the contract period. Residents are expected to leave within 24 hours after their last Fall or Spring semester final exam or 12:00PM on the last day of the contract period, whichever is earlier. Campus Housing
reserves the right to close residence halls during official University closures and/or between semesters.
D. Interim Housing may be available, space permitting and at an additional charge, between contract periods. Permission to stay in Campus Housing during an Interim period requires submission of an Interim Housing application prior to start of the Interim period. These periods are not included in the contract.

 

II. RATES AND BILLING
A. By executing the contract, the resident agrees to pay all reasonable collection costs, including attorney fees and other charges, necessary for the collection of any amount not paid when due.
B. Room and meal plan rates are determined for each academic year by the Board of Trustees. All students should review the published room and meal plan rates before signing their contract, reviewable on the Campus Housing website at housing.uic.edu/rates/. Campus Housing maintains the right to correct any typographical and/or computational errors in the preparation of contracts in conformance with the published room and meal plan rate schedule.
C. Contracts are billed in equal installments on a semester basis. Academic year contracts are billed twice a year. Technology Access charges are billed separately for all Campus Housing residents.
D. Each resident is responsible for any University property missing from or damaged in their room beyond normal wear and use. All residents are responsible for common area damage to their floor, building, and complex when the responsible person cannot be identified. Damage assessment are determined by Campus Housing staff, both in terms of which group of residents to charge and what damage is interpreted as vandalism.

 

III. ASSIGNMENT OF SPACE (ROOM)
A. Campus Housing reserves the right to assign rooms as it determines necessary.
B. Changes in room assignments may be made only with the approval of Campus Housing and at the option of Campus Housing. Residents making unapproved room changes will be required to move back to the originally assigned room, and may be referred to the student conduct process.
C. Campus Housing reserves the right to change a room assignment or terminate a contract agreement when a resident’s actions are found to be detrimental or disruptive to the welfare of the student living community or in violation of Campus Housing or University policies. If eviction is required, the student shall be held responsible for full room and meal plan charges up to the date of withdrawal and other penalties that may apply.
D. Campus Housing reserves the right to move or assign residents to another room in the same or another building at any time during the term of occupancy. Campus Housing also reserves the right to terminate this contract by written notice if a student fails to comply with any of the terms and conditions of this contract. In the event of irreconcilable differences between roommates, Campus Housing reserves the right to intervene and move one or all of the residents to other room assignments.
E. If one of the contracting residents vacates a room or if a roommate is not yet assigned, the remaining resident(s) agrees to accept another roommate as assigned, or to move into another room if requested to do so. If a resident discourages someone else from moving into an available room, that resident may be reassigned and/or subject to the student conduct process.
F. Campus Housing reserves the right to consolidate vacancies by reassigning a resident to a new room.

 

IV. VOLUNTARY TERMINATION BY CANCELLATION
A. Residents holding a contract are bound by the full terms of the contract and are responsible for the full contractual charges for room and, if applicable, meal plan, unless a release is approved by the Associate Director of Housing Administration or their designee.
B. An application or contract may be cancelled subject to the following terms and conditions. All requests to cancel an application or contract must be submitted online through the Campus Housing website.
C. Cancellation of Application or Contract Prior to the Start of the Contract Period:

  1. New applicants (defined as all students new to Campus Housing who have not been residents the previous term) may request cancellation following the procedure outlined below.
    1. All notifications of cancellation prior to the start of the contract must be submitted via the Campus Housing website. Timestamp of the cancellation request will be considered the request date.
      b. Signed contract:
      If you cancel after the start of the contract period without occupying the room, you will be responsible for 1) the cost of the room prorated on a daily basis for as long as the room is contracted; 2) a $100 cancellation fee.
    2. Returning residents may request cancellation of application or contract prior to the start of the contract.
      a. If you cancel by May 31, you will not be charged a cancellation fee and may be eligible for receiving a refund of your Housing deposit.
      b. If you cancel after May 31, you will forfeit the Housing deposit and be subject to a $500 cancellation fee.

D. After the start of the contract period, cancellation charges involve substantial financial penalties, including: loss of security deposit; forfeiture of the meal plan cost for the remainder of the semester if cancellation occurs after the 10th academic day of the semester; a $100 cancellation fee; 75% of the remaining contracted room cost.

 

V. INVOLUNTARY TERMINATION OF CONTRACT
A. Campus Housing may immediately terminate this contract for any breach of its terms or conditions, regardless of any action or inaction taken by Campus Housing for previous breaches of the conditions herein:

  1. The resident has failed or refused to discharge any liability for room or meal plan charges or damage assessments of which the resident has been given notice.
  2. The resident willfully violates any current Housing policies or regulations of the University
    (see Resident Student Handbook and Campus Housing website).
  3.  All residents living in Campus Housing during the regular academic year must be currently enrolled UIC students. Residents who withdraw from the University, are dropped from enrollment by the University, or do not enroll for the term will be required to move out of Campus Housing at the time their status as a student changes and are held to all cancellation terms listed above.

B. Resident agrees that upon written notice of any such involuntary termination of contract, they will vacate the room within 48 hours. The resident will pay in full charges for room and meal plan prorated to the date of their departure and other penalties that may apply

 

VI. GENERAL CONDITIONS
A. A meal plan is required for residents assigned to the ARC, CMW, CMN, CTY, & JST residence halls. If a resident assigned to SSR, MRH, or TBH elects to purchase a meal plan, it cannot be cancelled and refunded after the 10th academic day of the term. Limited changes to meal plans may be requested prior to the 10th academic day of the term. A meal plan may be upgraded or added at any time of the semester. Meal plan accommodations and exemption requests are evaluated by the University’s Disability Resource Center and/or Dining Services.
B. Campus Housing accepts no responsibility for the damage, theft, or other loss of money, valuables, or any personal effects of students. It is expected that residents have insurance coverage under a family homeowner’s policy or individual renter’s insurance.
C. Campus Housing reserves the right to deny housing to students or applicants because of their criminal history or to terminate the Campus Housing contract when it becomes aware of a criminal conviction or criminal history.
D. Resident agrees to observe all policies and regulations of Campus Housing and the University, as well as local, state, and federal laws. Campus Housing reserves the right to update policies without notification to the Campus Housing website, including the Resident Student Handbook. The Resident Student Handbook is available at housing.uic.edu/handbook/.
E. Campus Housing reserves the right to inspect resident rooms with or without the resident(s) present for serious life or health threatening emergencies; to perform requested, preventative, or emergency maintenance; to do room inspections; to silence a disruptive noise; at the request of UIC Police or other police agency. In addition to Campus Housing employees, specialists in building trades, repairs, and extermination may also be required to enter a resident’s room with or without the resident present.
F. Upon resident petition, any of the above terms may be reviewed or dismissed at the discretion of Campus Housing.
G. Assignments in Campus Housing is made without regard to race, ethnicity, religion, sexual orientation, national origin, physical or mental disability, or veteran status
