Fall 2024 Closing Information
The following information will help prepare you for Thanksgiving, the residence hall closing for Fall, and Winter Break (Fall-to-Spring Interim period) in the residence halls. This packet includes important closing dates and deadlines, eligibility to remain in Housing after Fall closing, room vacancy information, leaving for Winter Break, non-returning resident’s check-out procedures, mail, and Dining Services information.

Thanksgiving Break
Thanksgiving Break begins November 28. All residence halls are open during Thanksgiving Break and no request is needed for residents to remain in Housing during Thanksgiving Break.
All policies in the Resident Handbook remain in effect during both Thanksgiving Break and Winter Break (Fall to Spring Interim period).
Residents leaving for and checking out of Housing before Thanksgiving Break
All residents entering the Fall semester signed an academic year Housing contract, which holds each resident financially accountable for Housing costs through May 10, 2025. Residents not attending the University in the Spring 2025 semester (Fall-only residents, residents withdrawing, transferring, or graduating) are required to notify Campus Housing via email at housing@uic.edu immediately to submit a cancellation request.
Select your Express Check-Out date and time in the Housing Portal. Be ready at the time of your scheduled check-out date. Once you remove all your belongings, please stop at the front desk of your building. You will fill out the labeled envelope provided at the desk. Place your keys inside the envelope and turn in the envelope at the front desk.
By completing Express Check-out, you are declaring that you have permanently vacated the unit and assume responsibility for any charges or damages assessed upon inspection later by staff. Any belongings left in the room will be discarded. Residents that do not complete the Express Check-out process in its entirety will result in an improper check out fee of $150.
Keys that are not labeled or not in the drop box are considered lost and will require replacement. Failure to keep your scheduled appointment or comply with instructions will result in an improper check-out fee of $150, in addition to key replacement fees which will be billed to your student account.
Eligibility to remain on-campus beyond the Fall semester
All residents must be registered for Spring 2025 classes and in good financial standing with the University to live on campus during Fall to Spring Interim Housing and the Spring Semester.
Fall to Spring Interim Housing
Residents staying for Interim Housing beyond 12PM on December 14 will be required to sign up for Fall to Spring Interim Housing in the Housing Portal no later than Wednesday, December 4, 2024 at 12PM. Additions after this date will be charged a $150.00 administrative late fee.
Residents with Spring registration holds who will not be enrolled for Spring 2025 classes are not allowed to remain in Housing beyond the end of the Fall 2024 contract on Saturday, December 14 at 12PM. These residents will be required to vacate Campus Housing and conduct an Express Check-Out.
Residents not attending UIC in the Spring 2025 semester (Fall-only residents, residents withdrawing, transferring, or graduating) upon completion of the Fall term are not permitted to remain in Campus Housing after Saturday, December 14 at 12PM. These residents are required are required to notify Campus Housing via email (housing@uic.edu ) immediately. These residents will be required to vacate Campus Housing and conduct an Express Check-Out.
Graduating Resident Late Checkout Request
Housing residents graduating at the end of the Fall semester may request to remain in Housing until Sunday, December 15 at 12PM (noon) to better allow them to take part in their own commencement ceremony.
Please note that all requests will be checked to ensure that requesting residents have applied for graduation for Fall semester. Requests that have not applied for graduation will be notified and expected to check-out of their Housing room assignment no later than Satuday, December 14 at 12PM (noon).
Late checkout requests for graduating residents are submitted in the Housing Portal.
Going Home for Fall to Spring Interim Interim period only
Fall to Spring Interim begins December 14 at 12PM. Upon departure from Campus Housing, please follow the expectations listed below:

- Leave your unit clean
- Take out all trash in your unit
- Keep heat on and thermostat set at a minimum low
- Bathrooms clean
- Bring your service or assistance animal with you (if applicable)
- Refrigerators should be clean and all perishable items removed. Do not defrost or disconnect refrigerators.

- Make sure that all faucets are turned off
- Make sure that the stove/oven is turned off (if applicable)
- Close all windows and blinds in the unit
- Turn off the lights
- Make sure your door is closed and locked
- Disconnect all electrical appliances (exceptions: refrigerator, TV, stove and microwave)
- Collect any mail or packages before departing campus
Inspections & Damages
Residence Life and Facilities Management staff may enter units/rooms for routine preventative maintenance during the Fall to Spring Interim period. Residence Life staff will also perform inspections in each residence hall during the Fall to Spring Interim period to ensure guidelines are followed by all residents. Inspections are thorough and may result in fines due to damages or conduct issues found. Any damages or excessive trash found and/or assessed during this time will be noted and billed to your student account.
Dining Services
Please refer to Dining Service’s website to view hours of operation during Thanksgiving Break and the Interim period.
Health & Safety
Safety is our number one objective, and we want to bring to your attention that occupancy is generally minimal during the Fall to Spring Interim period. Residents should continue to take safety and security precautions by locking doors and learning which friends and neighbors plan to remain on campus.
All policies in the Resident Handbook remain in effect during both Fall to Spring Interim period. Residence Life staff and security will be present.
Room Vacancies
If your room or unit has a vacant bedspace at the end of the Fall semester, you can expect to receive a new roommate as early as the end of Fall semester or the beginning of the Spring semester. Campus Housing expects units/rooms to be cleaned and welcoming for new roommate(s). All rooms with vacancies will be inspected over the Fall to Spring Interim period to ensure these expectations are followed. Failure to have an orderly space over the Break may result in cleaning fines starting at $250.00 as well as further disciplinary action.
Due to the short turnaround time between the Fall and Spring semesters, Spring roommate information will not be provided to current residents. However, incoming residents will receive roommate contact information and may be in contact with you over the Winter Break Interim period (if applicable).

Checkout Procedure

Residents not returning for the Spring semester will log into the Housing Portal to schedule an Express Check-Out. Checkout should be arranged for no later than 12PM (noon) on Saturday, December 14, 2024. Please follow the check-out list below for complete instructions.
Be ready at the time of your scheduled Express Check-Out date. Once you remove all your belongings, please stop at the front desk of your residence hall. You will fill out the labeled Express Check-Out envelope provided at the desk. Place your keys inside the envelope and turn it in to the desk staff.
By completing Express Check-out, you are declaring that you have permanently vacated the unit and assume responsibility for any charges or damages assessed upon inspection at a later date by staff. Any belongings left in the room will be discarded. Residents will be charged $50.00 per bag of garbage that will be disposed. Residents that do not complete the Express Check-out in its entirety will result in an improper check out fee of $150.
Keys that are not in the Express Check-Out envelope are considered lost and will require replacement. Individual key replacement costs will be assessed (room key, apartment key, mailbox key).
Failure to keep your scheduled appointment or comply with instructions will result in an improper check-out fee of $150.
Complete Checkout List
- Notify Campus Housing (housing@uic.edu) immediately to cancel your Housing contract.
- Log into the Housing Portal and sign up for an Express Check-Out date.
- Check-Out is a maximum of two hours. You are allowed three helpers to assist. No exceptions or extensions can be made.
- Remove all possessions from your unit/room.
- Clean your unit/room.
- Empty desk and dresser drawers (behind & under your furniture).
- Clean kitchen, kitchen cabinets, counters, and oven/stove (if applicable).
- Empty and clean refrigerator (if applicable) Leave fridge rentals in space cleaned (if applicable).
- Vacuum floors and remove all trash.
- Remove all decorations (i.e., paintings, contact paper, posters, tape, tacks, ).
- Clean and empty medicine cabinet and counters (if applicable).
- Clean bathroom, toilet, and shower (should be free of mildew)- if applicable.
- Make sure to pick-up any mail or packages that have been delivered for you prior to check-out.
- Place your keys in the Express Check-Out envelope provided at your residence hall’s front desk with your full name, UIN #, and room/suite number.
- Submit the Express Check-Out envelope at the front desk with the desk staff.
- By completing the Express Check-Out, you declare that you have permanently vacated the unit and assume responsibility for any charges or damages assessed upon inspection later by Campus Housing staff.
- Keys that are not in the Express Check-Out envelope are considered lost and will require replacement, with replacement costs being charged.
- Any belongings left in your space will be disposed. Residents will be charged $50.00 per bag of garbage that will need to be disposed.
- Residents that do not complete the Express Check-out process in its entirety will be charged an improper check out fee of $150.

Mail Delivery & Forwarding
Mail will not be forwarded by Campus Housing to either current or former residents. Change your mailing address with the US Post Office to have your mail appropriately forwarded. We also recommend updating your mailing address with the University through your student account.
